A sales invoice is the document a seller issues to a customer stating what was sold, at what price and tax, and how much is owed and by when.
The sales invoice turns a delivery into a debt. It is what the customer pays against, what the books record as revenue and receivable, and what the tax figures count, so its numbers have to be right the first time.
An invoice usually lists each item, quantity, unit price, discount and VAT, with the totals and a due date taken from the payment terms. Where the law asks for it, it also carries the fields of a tax invoice, such as the seller’s tax number.
The common mistake is invoicing from the order rather than from what was delivered. When the shipment was short, the invoice is wrong, and putting it right later takes a credit note and an awkward call.
In Axon Suite
In Axon Suite the invoice is drawn from the shipped goods, so it bills what actually left the warehouse, and it posts to the ledger.
A shipment opens from the order with everything still to go, and you send the lines and quantities that are ready. The order shows as partially shipped, each invoice is drawn from goods that have left, and the order closes itself once it is shipped and billed in full.
