Goods received not invoiced (GRNI)

In Arabic البضاعة المستلمة غير المفوترة

A liability for goods that have arrived but whose vendor bill has not yet been entered, so their cost is booked when the stock comes in.

In plain words

Stock often arrives days before the vendor’s invoice. Without GRNI the warehouse holds goods the books owe nothing for, and the month’s balance sheet understates both inventory and what the business owes.

On receipt, inventory is debited and GRNI credited at the order’s agreed cost. When the bill is posted, GRNI is debited and payables credited. What stays in GRNI is goods still waiting for a bill.

The common mistake is never reviewing the balance. Old lines left in GRNI are usually bills entered without their receipt, or goods the vendor will never bill, and they overstate what you owe.

Worked exampleOne receipt, billed in part
Goods received at order cost
SAR 5,000
GRNI after the receipt
SAR 5,000
Vendor bill for part of it
− SAR 3,000
Still received, not billed
SAR 2,000

How Axon Suite handles it

In Axon Suite posting a receipt debits inventory and credits goods received not yet billed, and posting the vendor’s bill settles that accrual. It is one of the six control accounts checked before close.

Feature

Bill what arrived, at the agreed price

Draw the bill from the goods receipt and each line is billed at the purchase order’s agreed price and discount, under the vendor’s own invoice number. You can’t bill more than was received, and the same vendor invoice can’t be entered twice.
