Accounts receivable is the total owed by all customers; the outstanding balance is one customer’s share of it. It is the figure a rep needs before taking the next order, and the one a credit limit is measured against.
The balance is invoices less payments and credit notes, and it moves with every document. Part of it may not be due yet, so it is usually read beside the aging, which shows how much is current and how much is late.
The common mistake is updating the balance only when payments are posted at the end of the week. A customer who paid on Monday stays blocked until Friday, and the rep loses a sale over money already collected.
In Axon Suite
In Axon Suite the open balance a credit limit is checked against is what the customer has been invoiced less what they have paid, so a collection frees credit for the next order.
Every order is checked against the customer’s limit the moment it is saved, in the office and in the rep’s app. Over the limit, it is held for someone with approval rights or refused, as your settings say.
