For a distributor, suppliers are the other end of every sale: the manufacturer or importer whose goods fill the warehouse. How reliably they deliver, on what terms and at what price shapes stock levels, margins and cash. Most businesses keep a short list of approved suppliers and buy only from them.
The supplier record holds what every purchase needs: legal name, tax number, currency, payment terms, tax treatment and the agreed price list. Purchase orders, receipts and bills then take these from the record instead of retyping them, and what is owed is tracked in accounts payable.
The common mistake is creating the same supplier twice, under slightly different names. Purchases and balances split between the two, the true amount owed is hidden, and a bill can be paid from both. Search by tax number before adding one.
In Axon Suite
In Axon Suite each vendor carries its currency, payment terms, tax group and purchase price list, and many can be brought in at once from a CSV file. Orders to a vendor are approved before any goods are received against them.
A purchase order starts as a draft, is submitted, and is approved by a user whose role holds approval rights on purchase orders. Until then, no goods can be received against it and no bill can draw on it.
