Cash collection is the work of receiving payment from customers for what they owe, in cash, by card, cheque or transfer, and recording it against their invoices.
Sales only become money when they are collected. For a distributor selling on credit to hundreds of small shops, collection is a daily field task, and every day a payment is late is a day the business finances its customer.
In the field, a rep collects during the visit, gives a receipt and records the payment against the customer’s open invoices. At the end of the day the cash held is counted and handed over, and the office matches it with the payments recorded.
The common mistake is recording collections only when the cash reaches the office. Until then the customer still looks in debt, their credit stays blocked, and cash in a rep’s hands has no record at all.
In Axon Suite
In the Axon Suite rep app the rep collects cash, card or bank transfer, with the cheque or transfer reference, even with no signal. Every payment is recorded against the rep, and the end-of-day close lists collections for the office to approve.
Check-ins, orders, invoices, payments and returns are saved on the phone when there is no signal, then sent once it returns. Each one keeps the day of the sale and is sent only once, however often it has to retry.
