Duplicate bills are one of the most common leaks in accounts payable. The supplier rarely complains about being paid twice, and the overpayment sits as a credit on their account until someone notices, if anyone does. The more bills a team enters, the easier one is to miss.
They slip in when the same invoice arrives by email and on paper, when a copy is resent as a reminder, or when two people enter the same pile. The usual control is the supplier’s own invoice number: the same number from the same supplier is refused a second time.
The common mistake is matching on the amount or the date instead of the invoice number. Two genuine bills can share an amount, and a retyped duplicate often carries a different date. A second mistake is typing the number loosely, sometimes with its prefix and sometimes without.
In Axon Suite
In Axon Suite a second bill with the same vendor invoice number for the same vendor is refused. Voiding a bill frees its number, so the corrected bill can use it.
Draw the bill from the goods receipt and each line is billed at the purchase order’s agreed price and discount, under the vendor’s own invoice number. You can’t bill more than was received, and the same vendor invoice can’t be entered twice.
