In Arabic المطابقة الثلاثية
A check that a vendor bill agrees with both the purchase order and the goods receipt, in quantity and price, before it is approved for payment.
It stops paying for goods that never arrived, or at prices nobody agreed. The order says what was agreed, the receipt says what came, and the bill says what the vendor wants; payment waits until all three agree.
Each bill line is set against its receipt line for quantity and its order line for price. Small differences within a tolerance may pass; larger ones are held for someone to settle with the vendor.
The common mistake is matching the bill to the order alone. A bill for the full ordered quantity then passes even when only part of the delivery arrived.
In Axon Suite
In Axon Suite the vendor’s bill is drawn from the goods receipt, and each line is billed at the purchase order’s agreed price and discount. A bill can’t go past what was received.
Draw the bill from the goods receipt and each line is billed at the purchase order’s agreed price and discount, under the vendor’s own invoice number. You can’t bill more than was received, and the same vendor invoice can’t be entered twice.
