Invoices, orders and receipts need numbers that never repeat, so a document can be found, quoted and audited. Tax rules in many countries also expect invoice numbers to be unique and sequential, so a gap or a duplicate invites questions.
A sequence is usually a template plus a counter: fixed text, tokens such as the year or the company code, and a running number padded to a set length. Each document type, and each company, keeps its own counter.
The common mistake is sharing one sequence across companies or resetting a counter by hand. Two invoices then carry the same number, or a year’s numbering restarts halfway through, and nobody can tell which document is which.
