In Arabic الاستلام الزائد
An over-receipt is a goods receipt for more than the quantity still open on the purchase order, whether the supplier sent extra or the delivery was miscounted.
An over-receipt quietly commits the business to goods nobody approved. The extra stock is on the books, the supplier will bill it, and the approval that guarded the order is bypassed for the surplus. In a three-way match it shows up later as a bill that no longer agrees with the order.
Businesses handle it in one of two ways. Some refuse any receipt above the open quantity and ask for a new order for the extra. Others allow a small tolerance, such as 2 percent for goods sold by weight, and send anything above it for approval.
The common mistake is accepting the extra at the door to save time and sorting it out later. Later rarely comes: the surplus is billed and paid, and stock of a slow item piles up. Decide at receipt, against the order line.
In Axon Suite
Axon Suite refuses a receipt beyond the ordered quantity, so extra goods need a new order. Two receipts posted together against the same line can’t both pass the ordered quantity.
Open the approved order and the receipt fills itself with what is still to come. Put it into bins, enter lots or serials where the item is tracked, and take part now and the rest later. A receipt past the ordered quantity is refused.
Open: Receive against the order, never over it
